This page explains how to request deletion of a SKOOLES account and the data associated with it. It applies to the SKOOLES platform and to the SKOOLES mobile applications: SkooHub, SkooBook and SkooNet.
Before you start: who controls your account
Almost all SKOOLES accounts are created and managed by a school, university or training centre, not by SKOOLES directly. Your institution is the controller of your records, so it decides whether an account can be closed and what must be retained for educational, safeguarding or legal reasons.
This means there are two routes, and the right one depends on your situation.
Route 1. Request deletion through your institution
If you are a student, parent, teacher or member of staff, contact your school administrator or the person named as your institution’s data protection contact. They can close your account from the SKOOLES Web dashboard immediately. This is the fastest route and the one we recommend.
Route 2. Request deletion directly from SKOOLES
If you cannot reach your institution, if it no longer exists, or if you created an account with SKOOLES directly, send a request to [email protected] with the subject line Account deletion request, and include:
- The email address or username on the account.
- The name of the app or service: SkooHub, SkooBook, SkooNet, or SKOOLES Web.
- The name of your school or institution, if you know it.
You do not need to reinstall the app, sign in, or create an account to make this request. We will verify that you are the account holder before acting, which protects your data from someone else requesting its deletion. If we must ask your institution for confirmation, we will tell you.
In-app deletion
In SkooHub, SkooBook and SkooNet you can also start a deletion request from Profile and settings, then Account, then Delete account. The request is routed to your institution and to us.
How long it takes
- We acknowledge every request within 5 working days.
- We complete verified deletions within 30 days.
- Data removed from live systems is purged from encrypted backups within a further 35 days, as backups are rotated.
What is deleted
When an account is deleted we remove:
- Your profile: name, contact details, photograph and preferences.
- Your authentication credentials and all active sessions and tokens.
- Your message history in SkooNet, subject to any retention period your institution has configured.
- Push notification tokens and device identifiers.
- Locally cached data on your device, which is cleared when you sign out.
What may be retained, and why
Some records cannot be deleted on request because the institution or the law requires them to be kept. Where this applies we restrict access to the record rather than keep it in active use.
- Academic records such as enrolment history, grades and formal assessments. These belong to the institution and are usually retained under its statutory record-keeping duties.
- Attendance records where retention is required for compliance or safeguarding.
- Financial records where retention is required by tax or accounting law.
- Security and audit logs for up to 12 months, held for the purpose of detecting and investigating misuse.
We will tell you specifically what has been retained, under what basis, and for how long.
Deleting the whole institution account
If you are an administrator closing your institution’s subscription, see section 8 of our Privacy Policy and our Data Processing Agreement. You have 30 days after termination to export all data, after which it is deleted or irreversibly anonymised within 90 days.
